Meeting room reservations

Cancellation conditions
The Uniform Catering Conditions lay down the following Cancellation Conditions:
o In case of Cancellation more than 6 months before the time when under the terms of the Catering Agreement the first Catering Service should be provided, the Customer is not obliged to make any payment to the Catering Establishment.
o In case of Cancellation > than 3 months before the said time, the Customer is obliged to pay 10% of the Reservation Value to the Catering Establishment.
o In case of Cancellation > than 2 months before the said time, the Customer is obliged to pay 15% of the Reservation Value to the Catering Establishment.
o In case of Cancellation > than 1 month before the said time, the Customer is obliged to pay 35% of the Reservation Value to the Catering Establishment.
o In case of Cancellation > than 14 days before the said time, the Customer is obliged to pay 60% of the Reservation Value to the Catering Establishment.
o In case of Cancellation > more than 7 days before the said time, the Customer is obliged to pay 85% of the Reservation Value to the Catering Establishment.
o In case of Cancellation 7 days or less before the said time, the Customer is obliged to pay 100% of the Reservation Value to the Catering Establishment.
Changes in numbers
Changes in numbers of more than 5% of the number of people stated in the program confirmation will be accepted up to 2 weeks prior to the event. Up to two working days prior to your event, you can communicate the final number of persons, with a maximum deviation of 5% from the confirmed number. If these numbers are not or not timely communicated, Van der Valk Hotel Ridderkerk will use at least the last specified number of persons. Changes and cancellations will be handled in writing or by e-mail.
Changes to the seating plan
If the room arrangement must be changed on the day itself, we will charge 25% extra rent.


Cancellation policy for room reservations (groups)

In the event of cancellation of all or part of the reservation, the hotel will charge the following percentages of cancellation costs on the cancelled value.
We also offer you the option to deduct 10% of the reserved number of rooms free of charge up to 2 working days before the first arrival date. On the day of arrival you can deduct up to 5% free of charge until 12 noon.
Group < 25 rooms
• 0% if cancelled up to 4 weeks before arrival date
• In case of cancellation up to 1 week before arrival date 75%
• In case of cancellation within 1 week before arrival date 100%
Group 25 to 50 rooms
• 0% if cancelled up to 8 weeks before arrival date
• In case of cancellation up to 4 weeks before arrival date 50%
• In case of cancellation within 4 weeks before arrival date 100%
Group > 50 rooms
• 0% if cancelled up to 12 weeks before arrival date
• In case of cancellation up to 8 weeks before arrival date 50%
• In case of cancellation up to 4 weeks before arrival date 75%
• In case of cancellation within 4 weeks before arrival date 100%

Quotation and general terms and conditions
• All our rates are non-commissionable unless otherwise agreed.
• The prices offered in this quotation are based on the quantities shown in the quotation. If any changes occur in the quantities in the meantime, Van der Valk Hotel Ridderkerk reserves the right to adjust the quotation/offer.
